Theatre by the Lake is looking to appoint a talented Production Coordinator to support the Head of Production and work alongside our existing Production team. You should be committed to high-quality work and have a keen interest in working in producing theatre. You will be joining our evolving team as we look ahead to an exciting programme for 2025, providing an excellent service to our visiting artists and community users.

The Production Coordinator role encompasses a wide range of duties supporting all needs of the Production function of the theatre. As such, this will involve working closely with the Head of Production – to whom this role will report – as well as other departments, co-producing partners, freelance production managers and creatives etc.

Key Objective: 

To work as part of the Production team and support the Head of Production and the Technical Manager in the delivery of all aspects of Theatre by the Lake’s performances, festivals, events, and to facilitate the smooth operation of the Production department.

Main Duties

Support the Head of Production in all aspects of TBTL’s Productions, Co-Productions, Visiting Work and Community Projects

Liaise with TBTL’s producer, co-producing partners and creative teams as required and ensure that information is communicated swiftly and effectively with the rest of the Production Dept

To maintain a working knowledge of all productions and act as a key point of contact both internally and externally as required

Coordinate and organise production and design meetings, including: booking rooms, collating invitations, organising hybrid meetings, taking/distributing meeting notes, and sharing associated files as necessary

Coordinate training and events for the Production Dept and manage the Production Dept diary

To assist the Head of Production with:

Researching show-related equipment, props, scenery

Organising couriers and haulage for all aspects of the Production Dept’s work

Organising travel and accommodation as necessary for freelance crew and creatives

Creating achievable production schedules that meet budget, union and building requirements

The administration of the TBTL Health and Safety Policy

Promoting environmental sustainability across all aspects of TBTL’s work and the recording and monitoring of environmental impact through the Theatre Green Book

Asset management

Under the supervision of the Head of Production, manage the processing of invoices, authorise production team spending and track department spending against budgets as required

Help maintain effective digital filing systems for all aspects of the Production Dept’s work

Attend weekly planning meetings, and assist the Production Dept with the booking of rooms on Artifax

Other Duties

Assist with the rigging of lighting, sound and AV equipment during get-ins, get-outs and turnarounds

Assist with the maintenance of production and technical equipment at Theatre by the Lake and its stores

Act as Duty Technician or Duty Stage Technician where necessary to cover other members of the Production Dept

Where necessary shadow/cover other departments including technical, stage management and wardrobe

Assist with the maintenance and organisation of TBTL’s off-site stores (Costume & Props/Furniture)

Provide production and technical support for incoming companies, festivals, education and outreach projects and other events

Work under the theatre’s Health & Safety policy and current legislation about the safe operation of theatre activities.

Act as a representative and advocate of Theatre by the Lake.

Engage with internal communications and stay abreast of organizational updates and developments.

Support and uphold Theatre by the Lake’s commitment to inclusivity and sustainability.

Adhere to Theatre by the Lake’s Safeguarding Policy including the reporting of any issues of concern following procedure.

Undertake any other duties that may be reasonably required in connection with the position, as a member of a small and collaborative organization.

DBS Certificate

You will be required to hold a Basic DBS Certificate in this role. This will be subject to regular review by Theatre by the Lake in line with our Safeguarding policy.

Person Specification

The person specification will be used to consider suitable applicants for the shortlist and the exploration of skills at the interview.

Essential

A minimum of two years’ experience of working in a professional producing theatre or touring professional productions

Ability to be creative and resourceful in problem solving

Excellent written and verbal communication skills, with the ability to communicate effectively at all levels within and outside of the organisation

Able to manage and enhance physical and digital resources in an organised and systematic way

Strong interpersonal skills and the ability to work effectively as part of a team

Computer literate with experience of Microsoft programs

Experience of working to budgets

Committed to environmental sustainability

Excellent time management skills

Ability to work under pressure, meeting deadlines and work under own initiative

A desire to be helpful and supportive to the work of others in a producing environment

Desirable

Knowledge of Vectorworks or other CAD software

Experience of rigging and operating LX, Sound and Video Equipment

Experience of maintenance of theatrical technical equipment

Working knowledge of current Health and Safety legislation and its application in a theatrical setting

Enthusiasm for and an interest in producing theatre

Full clean driving licence

Knowledge of Theatre Green Book and Julie’s Bicycle and/or Carbon Literacy Training

First Aid Qualification

Degree in a relevant discipline and/or similar relevant qualification or experience in Technical Theatre
